This page describes Care Planning Pro’s approach to data handling, user responsibilities, and the allocation of responsibility between Care Planning Pro, LLC and users. It is part of and subject to our Terms of Service and Privacy Policy.
1. HIPAA Status
Care Planning Pro is not HIPAA compliant and is not a Covered Entity or Business Associate under the Health Insurance Portability and Accountability Act.
- We do not offer Business Associate Agreements (BAAs)
- The Service is not designed for the storage or handling of Protected Health Information (PHI)
Users are responsible for determining whether their use of the Service complies with applicable laws and professional obligations. Users should not enter PHI into the Service.
2. Data Ownership
You retain ownership of all content you enter into the Service. Care Planning Pro does not claim ownership of your content.
You are responsible for:
- the accuracy of information you enter
- obtaining any necessary consents from individuals whose information you enter into the Service
- complying with all applicable legal and professional obligations
3. Multi-Tenant Access and Sharing
Care Planning Pro is a multi-tenant platform that allows controlled data sharing within and across firms or organizations.
- Access is scoped to user accounts and organizational structure
- Users control who has access to their data
- Permissions are managed at the account and organization level
You are responsible for:
- granting access
- managing permissions
- all consequences of sharing
4. Third-Party Infrastructure and Sub-Processors
Care Planning Pro relies on third-party providers for core functionality, including:
- Supabase (database, authentication, and file storage)
- Vercel (hosting and deployment)
- Stripe (payment processing)
- Anthropic (AI processing)
- Proton Mail (email delivery)
- GitHub (code management and deployment pipeline)
Providers may change at any time without notice. Each operates under its own terms, privacy policies, and security practices.
No system is guaranteed to be completely secure or error-free. We do not represent or warrant that the Service, or any third-party provider supporting the Service, will be free from interruptions, errors, vulnerabilities, or unauthorized access.
To the fullest extent permitted by law, Care Planning Pro, LLC is not responsible for:
- the availability, performance, or security of any third-party service provider
- any data loss, data leak, data breach, unauthorized access, outage, or service interruption arising from or occurring at any third-party provider
- incidents occurring at or through any third-party provider
5. Data Storage, Backups, and Availability
We do not guarantee:
- uninterrupted availability of the Service
- preservation of any data
- recovery of lost information
Service interruptions, third-party provider failures, account issues, or other events may result in temporary or permanent loss of access to data. You are responsible for maintaining backups of any information you consider important.
6. AI Features
Care Planning Pro includes AI-assisted features.
- AI functionality is currently provided through Anthropic, and AI providers may change at any time
- Inputs submitted to AI features may be transmitted to and processed by the AI provider, subject to the provider’s own terms and privacy policy
- AI outputs may be inaccurate, incomplete, or outdated, and must be independently verified against primary sources before being relied upon
You are responsible for all decisions made based on AI outputs and for the content you submit to AI features.
7. Account Security and User Responsibilities
You are responsible for:
- safeguarding your login credentials
- restricting access to your account
- monitoring activity within your account
- the security of the devices and networks you use to access the Service
Unauthorized access to your account may occur as a result of compromised credentials, shared access, or device or network security failures. To the fullest extent permitted by law, Care Planning Pro, LLC is not responsible for such unauthorized access.
8. Incident Reporting
No system can guarantee detection or prevention of all security incidents. If a security issue is identified, we will investigate and take appropriate action based on the circumstances.
Users are responsible for:
- monitoring their own accounts
- reporting suspicious activity
To report a security concern, contact us at support@careplanningpro.com. We ask that you do not publicly disclose potential vulnerabilities before giving us a reasonable opportunity to investigate and respond.
9. Business Continuity
Care Planning Pro does not guarantee:
- long-term availability of the Service
- continued operation without interruption
Users are responsible for maintaining backups and exporting data as needed.
10. Your Responsibilities
In summary, you are responsible for:
- safeguarding your account credentials
- the accuracy and completeness of information you enter into the Service
- obtaining any necessary consents from individuals whose information you enter
- independently verifying any information — whether entered by a user, generated by AI, or displayed by the Service — before relying on it for any care, medical, legal, financial, or professional decision
- maintaining backups of any information you consider important
- complying with all applicable local, state, and federal laws in your use of the Service
- monitoring your account and reporting suspicious activity
- determining whether your use of the Service complies with your professional and legal obligations
